Job Description

PRINCIPAL RESPONSIBILITIES:

The Senior Human Resources Specialist collaborates with the entire HR team to offer a comprehensive administrative support to the HR department Alliance employees. This position has primary duties in the areas of monthly reports, HRIS support and administration, and administrative support to the department (including document management, benefits administration, job descriptions, training coordination & ergo evaluations).

ESSENTIAL FUNCTIONS OF THE JOB

Organization expects job performance to be consistent with its vision and mission. Day-to-day work is focused on these key performance areas.

  1. Ensure appropriate paperwork and compliance requirements are met. Process internal verifications of employment, alternate assignment to support Corporate Trainer with new employee and new management training, coordinating training courses and external resources with department leadership.
  1. Process HR transactions through data entry, design and run routine and ad-hoc reports, entry of training into systems.
  1. Provide administrative support to the HR department, including paper and electronic file management, invoice processing, and monitoring and maintaining monthly HR reporting for sanctions check, MVR's, TB Testing, Licensure & Bilingual Skills, and other reports.
  1. Maintain temporary physical & electronic files. Subject matter expert on electronic filing system. Implementation of new electronic files and ensures that employee electronic files are current, accurate, up to date and compliant.
  1. Support and assist HR Generalists in administrative duties of ergo evaluations, audits leave of absence, worker's compensation & benefits.
  1. Assists with maintaining job descriptions are accurate and up to date.
  1. Manages and updates HR internal process and procedure training documentation.
  1. Other duties as assigned.

PHYSICAL REQUIREMENTS

  • Constant and close visual work at desk or on a computer.
  • Constant sitting and working at a desk.
  • Constant data entry using keyboard and/or mouse.
  • Constant use of telephone headset.
  • Frequent verbal and written communication with staff and other business associates by telephone, correspondence, or in person.
  • Frequent lifting of folders and other objects weighing between 0 and 30 lbs.
  • Frequent walking and standing.
  • Occasional driving of automobiles.

MINIMUM QUALIFICATIONS:

EDUCATION OR TRAINING EQUIVALENT TO:

  • Bachelor's Degree or equivalent professional experience.

MINIMUM YEARS OF ADDITIONAL RELATED EXPERIENCE:

  • 3 - 5 years' experience as an HR Assistant, HR Admin., Coordinator, Specialist and/or Generalist.

  • Work experience in managed care and/or Medi-Cal organization preferred. Professional certification in Human Resources field (PHR, SPHR, CEBS, etc.) highly preferred. Familiarity with UKG HRIS a plus.

SPECIAL QUALIFICATIONS (SKILLS, ABILITIES, LICENSE):

  • Excellent verbal and written communication
  • Excellent customer service and collaboration skills
  • Excellent skills in developing and maintaining relationships and working with a diverse population.
  • Ability to analyze problems and recommend workable solutions.
  • Comprehensive and current knowledge of HR Compliance, in California
  • HRIS experience (UKG preferred but not required)
  • Effective time management and ability to prioritize and organize goals and tasks. Advanced skills with Microsoft Word, Excel, Outlook, and PowerPoint required (experience with MS Visio and MS Access a plus)
  • Experience with filing and managing paper and electronic files.
  • HR Certification highly preferred (PHR, SPHR, CEBS, etc.)
  • Experience managing on-line performance management system and/or learning management system preferred.
  • Maintain a high level of professionalism and strict confidentiality.

SALARY RANGE $80,040.08 - $120,060.11 ANNUALLY
