    Responsibilities

    We are looking for a high-energy Customer Service Representative (CSR) at our Fitness Center located at the Jewish Community Center of San Fransisco to be responsible for professionally assisting customers with scheduling, inquiries, providing information, identifying customer needs and effectively building a relationship with our referrers, patients and their families.

    The CSR will schedule and confirm appointments, greet & register patients, answer phones, ensure accurate patient insurance information, explain billing procedures, prepare/file patient charts, process notes and medical records and assist with financial recording and statistical reporting.

    Essential Daily Functions:

    • Maintain daily scheduling and confirmation of patient appointments
    • Respond to heavy volume of incoming calls for appointments and other requests
    • Greet and check-in patients when they arrive to our clinics
    • Complete patient required forms, obtain necessary signatures and documents, asks for preferred information upon check-in, and accurately enter the patient information for registration
    • Ensure all insurance information is obtained, up-to-date and policy benefits verified; copy insurance cards
    • Explain billing policy & procedures, individual’s insurance coverage and possible patient financial responsibilities
    • Prepare and file patient charts in appointment time order prior to patient’s appointments for the next day
    • Routinely check fax machine for referrals and ensure they are filled out properly
    • Obtain physician privileges correctly and on a timely basis
    • Check charts for drop off’s and expired certifications
    • Copy and file all notes, answer all requests for medical records that are sent to our office and send to Medical Records, send notes to M.D., fax Plan of Care’s to referring M.D.
    • Keep patient log book updated and accurate and document all communication with patients
    • Assess customer needs and provide clear, accurate instruction and service information
    • Attempt to resolve complaints in the first instance while recognizing the need to notify supervisor if the situation becomes too difficult
    • Keep packets, charts and copies of all forms readily available
    • Coding all bills and forwarding them to Accounting/Business Office for payment

    Beginning of Month:

    • Register all recurring patient’s
    • Re-Enter all Diagnosis Codes, Authorizations and E/E comments
    • Check for drop off’s
    • Send Worker’s Compensation notes to the Business Office by the 5th of the month
    • Send the Face sheets of MVA patient’s that have been re-registered to the Business Office

    End of Month:

    • All Medicare Value codes must be entered by the last business day of the month
    • All Worker’s Compensation Value codes must be entered by the last business day of the month
    • Ensure all corrections are completed by the 5th of the following month

    Secondary Functions & Duties

    • Requisition of office and clinic supplies and process invoices
    • Balance daily money and receipts, ensure accuracy, if applicable
    Qualifications

    Education and Experience:

    • High School Diploma
    • 1-2 years’ experience in a health care provider office

    Work Environment and Physical Demands:

    • Possess the emotional stability to function effectively under stress and to adapt to an environment that may change rapidly without warning and/or in unpredictable ways
    • Requires being in a stationary position for long periods of time and positioning one’s self to bend or stoop
    • Minimal to daily travel time may be required
