Job Description Summary

Shipping and Receiving Supervisor. Oversee warehouse operations, shipping by truck and rail, and other administrative duties.

Job Description

Shipping:

Coordinate with Customer Service Department, Logistics Department and Carrier Dispatchers to arrange the logistics of shipments to and from the Newberry warehouse to/ from internal and external customers. Record keeping for all shipments including ore to the plant utilizing JDE Purchase and maintain proper inventory of all supplies needed for the warehouse, including pallets Prepare for and coordinate annual physical inventory count and reconciliation. Prepare and perform monthly spot check cycle count of plant inventory. Track OTIF - daily & monthly reporting and enter codes as necessary to identify cause of failure and to prevent future failures Keep track of and report location of all railcars on at least a weekly basis and coordinate with BNSF personnel to assure required moving and spotting of railcars As needed, arrange for minor repairs of railcars and coordinate with purchasing for major repairs as needed. Record, prepare packages to corporate office (mail distribution) and all other outgoing shipments via UPS, Fed Ex, and other carriers. Prepare mail for Postal Service and take to post office. Pick up and distribute mail. Directly supervise 0-2 hourly Material Handler employees, and 0 to 2 contractor or regular clerical shipping department employees (i.e. shipping clerks), depending on customer demand volume.

JDE Procurement Processing/Accounting:

Establishes requisitions for purchasing, converts into purchase orders, prints and makes alteration/changes when necessary to ensure purchase orders correspond with actual receipts and invoices. Sets up new vendors and establishes annual blanket purchase orders for various suppliers. Maintains inventory records for all company vehicles, registration fees, and ownership certificates. Reconcile and submit P-Card Monthly Statements and Expense reports. Oversee maintenance engineering stores warehouse inventories:

Conduct weekly cycle counts to ensure accurate accounting of engineering stores at all times.

Purchase all parts within authorization in a timely manner to ensure adequate and timely stores for optimum plant operation.

Provide periodic reports on the value of the engineering stores inventory, with explanations for variances.

Provide purchasing recommendations to the plant maintenance department as necessary to ensure adequate and timely stores for optimum plant operation.

Provide reports as necessary to the plant maintenance department and other departments as to the status of engineering stores purchasing.

Reconcile Failed Invoices and Purchase Orders with all department managers and other employees with purchasing authority. Pursue personal development for a succession plan to assume raw materials purchasing responsibility in 3-5 years.

Hourly Payroll / Human Resources

Review computer input data from spreadsheets and validate with ADP entries, after thorough review to insure correct, before final approval for Payroll at corporate to generated payroll checks. Liaison between Union Employees and Corporate HR department when changes or updates are required (Open Enrollment, Workday, Benefit, Personnel Changes etc.) Maintain Personnel Files.

Quality:

Ensure the Warehouse and Shipping department operates in compliance with the company's ISO 9001 quality program.

Ensure that department requirements of the International Standard and quality management system are established, implemented, and maintained.

Ensure that processes and procedures are delivering their intended output.

Report on the performance of the quality management system and any need for improvement to the management of ELEMENTIS SPECIALTIES, Newberry/Hector, CA.

Communicate, demonstrate, and promote customer focus throughout the department.

Additional Job Description

Preferred Qualifications:

1-2 Years experience supervising employees.

2 year college degree in Business Administration or similar subjects, or equivalent work experience.

Proficiency with computers, office software (i.e. Microsoft Office), and computerized enterprise database systems (i.e. JD Edwards).

1-2 years experience in shipping truckload and less than truckload (LTL) orders of finished goods to outside customers.

Requirements:

Must be able to work in an office environment including sitting, standing, working with computers, communicating viaweb based software and by telephone.

Must be able to don appropriate PPE.

Must be able to walk to and from all warehouses, including uneven surfaces, stairs and ramps, and outdoor areas.

Must be available to work overtime or varying schedules as required to meet the demands of the business.

Must be able to communicate verbally and in writing in English.
