JOB OVERVIEW:

This position handles Customer Service inbound calls, fax orders, mail orders and special projects as assigned in a quality driven way that insure excellent service and products.

 

KEY RESPONSIBILITIES: (including % of time)

  • 30% - Telephone Orders - verifying customer details and or account creation support for new customers. Up-sell, cross-sell, have a full understanding of the PSS sales process. Uncover the needs of the customer and understand how Ortho Organizers can be a solution.
  • 20% - Order Entry – Enter order using company’s ERP system, verifying customer information, part number, quantity, pricing, shipping instructions and credit terms. 
  • 10% - Fax and mail orders – To be entered the same day using company’s ERP system
  • 10% - Meet all deadlines for shipping. Ensure that the correct lead time is entered and that deadlines are adhered to for rush orders.
  • 10% - Customer service forms and credit card authorizations should be handled per work instructions.
  • 10% - Participates in special projects and performs other duties as required.

 

SKILL: 

Good understanding of the job and apply knowledge and skills to complete a wide range of tasks. Apply acquired knowledge of procedures and external regulations.

 

COMPLEXITY: 

Work on assignments that are moderately difficult, requiring judgment in resolving issues or in making recommendations.  May be responsible for making independent procedural decisions.

 

SUPERVISION: 

Work under minimal supervision and receive little to no instruction on daily work, receive general instruction on newly introduced assignments.

 

 

 


 

MINIMUM WORK EXPERIENCE: 

Typically 2 or more years of related experience.

 

PREFERRED EDUCATION: 

Typically High School education, vocational training and/or on-the-job training.

SPECIFIC KNOWLEDGE & SKILLS: 

  • Basic Computing - Comfortable learning and maneuvering through multiple tools and applications
  • Confident using  Microsoft Office
  • Good telephone etiquette, ability to answer a high volume of calls and email. 
  • Dependable attendance is required.

 

PERFORMANCE REQUIREMENTS: 

Typically, to advance to a new job level, TSMs must demonstrate professional behavior and should consistently be at the high-end of meets expectations or consistently exceed expectations.

  • Meeting company standards pertaining to quantity and quality of work performed on an ongoing basis, performing all work related tasks in a manner that is in compliance with all Company policies and procedures, including WorldWide Business Standards.
  • Adhering to Company policies, procedures, and directives regarding standards of workplace behavior in completing job duties and assignments.
  • Performing duties in a professional way, supporting Ortho Organizers’ Quality Policy. Must understand, follow and comply with regulatory requirements as applicable to various processes.  An understanding of FDA Quality System Regulations (21 CFR 820) and ISO Standards (ISO 13485) is required.

 

TRAVEL / PHYSICAL DEMANDS:

Travel typically less than 10%. Office environment. No special physical demands required.
