Duties and Responsibilities:

Under the direct supervision of the Executive Director of TRIO programs, the project Administrative Support Coordinator I provides overall office support/ management to meet the day to day needs of the Educational Talent Search (ETS) & Upward Bound (UB) programs. The ASCI will provide support to the Executive Director of TRIO programs, Associate Director of TRIO programs, and Advising Coordinators in maintaining the needs of all ETS & UB projects including the responsibility for organizing and maintaining participant records (i.e., physical files and student database) and files related to financial records, human resources, and program planning. Additionally, the ASCI will provide primary financial and administrative support for ETS & UB on matters of budget (i.e., payroll, personnel hiring, purchasing, travel, etc.), maintain program fiscal records and process all work orders (i.e., check requests, chargebacks, and purchase orders for signatures). The ASCI will assist with event coordination and management, as well as the maintenance of equipment, ordering of office supplies, preparing and processing mailers. Responsibilities include the supervision of project staff (i.e., student assistants, etc.), compliance with federal and institutional regulations and legislation, record keeping of fiscal and student data, and evaluation of project objectives and performance. Work collaboratively and effectively with program participants, parents, and staff of diverse backgrounds, as well as, departmental staff and budget analyst.

Qualifications:

Equivalent to four years of full-time, general office clerical and administrative support experience that has provided the applicant with the knowledge and abilities listed;  

Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two years of the required experience on a year for year basis.  Ability to work some weekends and evenings. Bilingual English and Spanish Preferred.

Knowledge, Specialized Skills, and Abilities:

Thorough knowledge of correct English grammar, spelling, and punctuation; office methods, procedures, and practices; and university infrastructure, policies, and procedures.  Working knowledge of budget policies and procedures.

Ability and specialized skills to: coordinate many different administrative duties; interpret and apply a variety of complex policies and procedures; set deadlines, priorities, and complete projects accordingly; draft and prepare memoranda and correspondence; keep moderately complex records and files; screen mail, telephone calls, and visitors; maintain confidential files; supervise the work of others; perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections; establish and maintain a cooperative working relationships; read and write a level appropriate to the duties of the position;  and operate standard office equipment and software.

Pay, Benefits, & Work Schedule

This position is employed through The University Corporation (TUC).

Full Pay range: $20.22- $31.78

The anticipated hiring range: $20.22 - $24

Time Base: Full-Time
