Job Description
Position Summary

Allan Hancock College is accepting applications to establish a pool of qualified candidates for temporary clerical positions at the Santa Maria Campus and Lompoc Valley Center.
Some positions will require Bilingual (English/Spanish) speaking skills.

Work Schedule
Monday - Thursday, 8:00 a.m. - 4:30 p.m. and Friday, 8:00 a.m. - 4:00 p.m.

Salary
Will vary depending on the position.

Essential Functions and Qualifications

Knowledge of: office management techniques and organizational skills; written business communications; various data bases; word/information processing applications and production; records management; correct English/Spanish usage, spelling, grammar, and punctuation; formatting; and office methods, procedures, and equipment, including filing systems, and receptionist and telephone techniques.

Ability to: communicate effectively, both orally and in writing; develop and maintain cooperative relationships with those contacted during the course of work; understand and carry out oral and written directions; work independently, organize work load, and establish priorities; learn and interpret specific rules, procedures, regulations, and policies, and apply them with good judgment in a variety of procedural situations, and establish and maintain office records and files.

Duties:

  • Serves as the first point of contact and provides information and assistance to the general public, students, staff, and faculty.
  • Acts as receptionist; answers telephone, relays messages, and transfers calls.
  • Provides support to peer advisors, staff, and faculty.
  • Assists students with year-round access to student portal site.
  • Accepts and verifies forms for completeness and accuracy.
  • Collects and enters data and assists with reporting.
  • Make room reservations, orders food, and work orders.
  • Schedules appointments and meetings; prepares travel arrangements and documentation
  • Supports meetings as necessary; prepares agendas and takes minutes.
  • Supports the program review process, including scanning surveys, completing documentation, scheduling meetings, and tracking for completeness.
  • Assist and support Noncredit Counseling and Student Equity activities included but not limited to Estudiantes Unidos, Noncredit Recognition Ceremony, and workshops.

Minimum Qualifications

Education and Experience:
An equivalent to a high school diploma and two years of increasingly responsible clerical experience OR any equivalent combination of training and experience.
