Conde Nast is seeking an Executive Assistant to the Head of Global Business Affairs and Business Development & VP, Global Brand Product Licensing & Partnerships

Based out of the Los Angeles Office, qualified candidates must have exemplary, detailed-oriented organizational skills, as well as excellent communication and writing abilities. Candidates must have the ability to manage multiple projects in a fast-paced multi-zone ( LA and NYC) environment, experience handling complex and ever-changing schedules, and a high degree of personal responsibility. An understanding of the media and entertainment industries is a bonus.

Primary Responsibilities:

  • Manage and transfer calls, schedule & coordinate conference calls including multi-party, multi-time zone, video, and conference calls

  • Manage ever-changing calendars in Google Calendar with the ability to update, cancel and confirm meetings

  • Scheduling and coordinating meetings both in-office and offsite.

  • Arrange travel -- including global travel

  • Prepare expense reports for review & submit to accounting for approval

  • Liaise and partner with other teams within the company as needed

  • Liaise with entertainment industry partners as needed

  • Assist with organizational and business functions of the Business Affairs/Business Development and Licensing department as needed, including drafting correspondence, drafting deal memos, drafting presentation decks, tracking precedent, project milestones and/or communications, and creating forms and organizational systems

  • Assist Head of Global Business Affairs and Business Development with leading the LA office, inclusive of planning social events and company events and managing employee morale

Desired Skills and Qualifications:

  • Bachelor's degree

  • Prior administrative experience within a fast-paced environment

  • Ability to liaise with key senior-level executives

  • Ability to liaise with internal staff at all levels and external clients & partners

  • Ability to work with in a multi-time zone environment ( LA and NY time zones)

  • Highly professional with excellent judgement

  • Excellent communication skills - both written and verbal

  • Experience with MS Office: Word, PowerPoint and Excel and Google Docs, Sheets,

  • and Slides

  • Extremely proactive approach, reputation as a doer

  • Ability to work under pressure and in a fast-paced environment

  • Positive, self-motivated attitude

  • Critical attention to detail and highly organized

  • Strong analytical capabilities and judgement in order to identify and implement effective solutions while under time pressure

Preferred/Helpful Skills and Qualifications:

  • J.D.

  • Familiarity with the brands and businesses of Conde Nast

The expected base salary range for this position is from $62,400 - $65,000.Salary offers are based on a wide range of factors including but not limited to relevant skills, training, experience, and education.
