JOB SUMMARY

The Bookkeeper/Administrative Assistant reports to the Program Director and is responsible for assisting and providing administrative and technical support duties. They will maintain the petty cash expenditures, examine payable invoices and supporting documentation, and determine the validity of the request, allocation of costs and proper authorization.

ESSENTIAL JOB RESPONSIBILITIES

  1. Coordinate administrative functions between the Program Director and other clinics and personnel.
  2. Assist the Program Director with creating, updating and maintaining program files and records.
  3. Assist PD /APD with timely reports on any unusual occurrences that might influence the overall program operation or the health and safety of clients or employees.
  4. Responsible to examine payable invoices and supporting documentation, and determine validity of the request, allocation of costs and proper authorization.
  5. Prepare financial billings and reports required by government agencies or mandated by grant terms.
  6. Code accounts payable invoices to proper cost center and account and enter data into the system.
  7. Maintaining financial records and accounts using manual and/or automated systems. Posting expenditures and other data to appropriate ledgers, calculating payroll and maintaining withholding records, preparing accounting entries for transfers of funds, preparing and completing bank deposits and/or reconciliations, maintaining accounting files (payroll accounts payable, and accounts receivable), maintaining and adjusting entries and preparing trial balances, reconciling and correcting discrepancies in payable statements.
  8. Perform written and oral reports.
  9. Assist in preparation of responses to County, State, and Federal paperwork for the program.
  10. Assist as needed in a variety of projects, utilizing research, accurate tabulation, spreadsheet recording, and reporting skills.
  11. Fiscal compilations as requested.
  12. Assist with administrative documents including county, state, and federal contracts' requirements.
  13. Coordinate meetings and schedule meetings, conferences, travel, etc.
  14. Give and follow oral and written instructions.
  15. Organize work and set priorities to meet established deadlines.
  16. Remain flexible and tolerant to changes in workloads and assignments.
  17. Write clearly, accurately, and concisely to convey ideas in grammatically correct reports, letters, and memos.
  18. Thinks and acts quickly and efficiently in emergencies.
  19. Will drive on Agency business.
  20. Physical presence in the office is required.
  21. Complete the minimum 16 hours training annually per Turning Point training requirements

ESSENTIAL JOB REQUIREMENTS

  1. Education/Experience sufficient to demonstrate competency in the knowledge and skills specified. This may be obtained by completion of two (2) or four (4) year college degree with a major in public or business administration or related field. Four (4) to six (6) years of applicable work experience may be substituted for college degree.
  2. Demonstrated ability to handle multiple priorities in an organized and efficient manner.
  3. Work with a variety of directors and program administrative staff.
  4. Organize, prioritize work and function independently.
  5. Independently perform routine studies, periodic reviews and reports.
  6. Collect, compile and analyze data and report results.
  7. Perform math functions sufficient to compute fractions, decimals, percentages, statistical analysis and record keeping.
  8. Willingness to travel to various program sites if necessary.
  9. Ability to operate within Electronic Medical Records (EMR) system.
  10. Intermediate computer skills in Microsoft Word, Excel, Outlook and PowerPoint, Office 365, Teams, Zoom and other communication/meeting platforms.
  11. Possess a valid driver's license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
  12. Ability to pass a criminal background check.
  13. Ability to pass a pre-employment drug screen and TB test.
