Accounts Payable Clerk

Position Summary:
The Accounts Payable Clerk is responsible for the timely and accurate processing of invoices. This position requires a highly organized work style and attention to detail.

Essential Duties:

  • Reviews vendor invoices and check requests for propriety and proper approval.
  • Prepares disbursements, as directed by due dates, company cash flow position, and emergency needs.
  • Submission of disbursements for authorized signatures, issuance of disbursements, and subsequent filing of documentation.
  • Audits and processing of Accounts Payable invoices, disbursement requests, rents and leases, and petty cash.
  • Uploads company credit cards and auto pay invoices into accounting software.
  • Processes annual 1099 statements and withholding documentation, W9 and 1096 reporting.
  • Processes weekly client allowance and related payments and check deposits.
  • Controls, and coordinates with agency's Cottage Supervisors, client savings from deposit, account distribution, reconciliation and payouts upon emancipation.
  • Maintain standards and professional environment in keeping with state, county, Joint Commission and Mental Health guidelines and regulations.
  • Ensures that all completed documents comply w/ Federal, State, County (Auditor Controller), GAAP and Insurance Co. requirements.
  • Performs monthly closing process for all functions through analysis, corrections and final aging reports reconciled to General Ledger.
  • Responsible for meeting monthly, quarterly and annual financial closing cycle by meeting the ascribed due dates.
  • Assists in annual audit as necessary.
  • Other duties as assigned

Minimum Qualifications
Position requires previous training in accounting systems, college level accounting courses preferred and minimum two years' experience in accounts payable. Nonprofit experience preferred.

Additional Requirements

  • Proven ability to work independently, respond to agency fiscal needs and to interact with various agency, vendor, and customer personnel in a professional, positive, cordial manner.
  • Must have and maintain a working vehicle a valid, unrestricted California driver's license and current vehicle insurance.

Salary Range : $43,680 - $48,048
The posted pay scale for this position serves as a general disclosure. Actual pay offered within the range will be dependent on individual factors such as skills, qualifications, and relevant experience.
