Position Summary

The Executive Assistant to the Chief Operating Officer (COO) plays a pivotal role in providing essential administrative support, fostering seamless operations across various departments. Serving as a key point of contact, they streamline communication and collaboration among stakeholders. This position requires proactive organizational skills, efficient task management, and discretion in managing confidential information. Through process optimization, schedule coordination, and project assistance, the Executive Assistant contributes significantly to the operational efficiency of the organization.

Roles & Responsibilities

  • Efficiently manage and maintain executive calendars, orchestrating meetings and appointments seamlessly.
  • Facilitate travel arrangements, encompassing flights, accommodations, and ground transportation, with meticulous attention to detail.
  • Craft and refine correspondence, reports, and presentations to uphold professional standards.
  • Prioritize and organize incoming emails, calls, and communications to streamline executive workflow.
  • Ensure prompt follow-through on internal commitments, communications, and project deadlines to maintain operational excellence.
  • Skillfully handle expense management and reconcile credit card statements to maintain financial transparency.
  • Collaborate in preparing for meetings by crafting agendas, assembling pertinent materials, and ensuring the conference rooms and logistics are properly arranged.
  • Coordinate special events and projects as necessary, demonstrating flexibility and adaptability.
  • Act as a liaison between the executive team and other departments, fostering effective cross-functional communication.
  • Uphold confidentiality and exercise discretion and sound judgment in all interactions.

Key Qualifications

  • Possess a minimum of 3 years of experience supporting C-level executives, showcasing a track record of excellence.
  • Exhibit exceptional organizational, communication, and interpersonal skills to navigate diverse responsibilities.
  • Demonstrate keen attention to detail and adeptness at prioritizing tasks in a dynamic environment.
  • Proficient in utilizing Slack, Google, and Microsoft suite applications to enhance operational efficiency.
  • Display a proven ability to maintain confidentiality and exercise discretion in sensitive matters.
  • Show a genuine passion for environmental sustainability and clean technology, aligning with our company's mission and values.

Work Location: Onsite - San Jose, CA

Salary Range: $50.00 USD - $60.00 USD

Salary Basis: Hourly

This job posting contains the salary range that Antora Energy believes it would be willing to pay for the posted job. The actual salary offered will be determined within the posted range based on a candidate's experience, credentials, and expertise as they pertain to the requirements of the position.
