Job Summary:

The duties and responsibilities of an Event Planner require the ability to communicate well with customers and venues. Event planners must pay careful attention to detail using information from several sources to plan a successful event. Other Event Planner responsibilities include:
  • Listening attentively to customer requests and keeping records of these requests
  • Managing and budgeting customer finances
  • Provide administrative services, such as monitoring and ordering supplies, maintaining CRM(Amadeus/Delphi.fdc) system hygiene (actuals, reports, invoice corrections), filing and office organization.
  • Create organized and well-structured Banquet Event Orders (BEOs) based on client's needs that communicate event set up, structure, menus and timelines that are clear and concise for successful event execution.
  • Manage new Amadeus/Delphi layout project by creating floorplans, inventories and templates.
  • Support Event Managers in all capacities including client communication and follow up, BEO creation.
  • Manage internal meetings on-own from initial planning to event execution. If on site coverage is needed, reach out to planners to ensure proper coverage.
  • Actively participate in all weekly Banquet and Planning Team meetings.
  • Create and modify existing event documents to represent current procedures and information including menu's, templates, and training protocols.
  • Distribute communication documents such as BEO's, resumes, reports, memos, and letters using Microsoft Suite and Amadeus/Delphi.fdc CRM.
  • Handle correspondence, signage, emails and post-convention surveys for Planning Team
  • Modify, edit and update Amadeus/Delphi.fdc to reflect actuals, current menus and final invoicing from accounting.
  • Perform all duties as deemed necessary for the success of the department.
  • Perform exceptional follow-up procedures to ensure the guest's satisfaction.
  • Adhere to all departmental and company policies and procedures and participate in all departmental and resort training and development courses.
  • Setting Up an appropriate venue suitable for the type of event
  • Having good knowledge of geographic locations and their main attractions
  • Organizing audiovisual equipment in advance
  • Coordinating hotels, transportation, and food
  • Attending and monitoring activities to ensure client satisfaction
  • Reviewing bills and approving payments


The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills and attention to detail are equally important. Excellent growth potential.

Education and Experience:

Required:
  • High School Diploma or GED
  • Two years related experience and/or training; or equivalent combination of education and experience

Preferred:
  • Bachelor's Degree

The base hourly pay range below represents the low and high end of the Palisades Tahoe Resort, LLC's hourly pay range for this position. Actual pay will vary and may be above or below the range based on various factors including but not limited to experience, education, training, location, merit system, quantity or quality of production, responsibilities, and regular and/or necessary travel. The range listed is just one component of Palisades Tahoe Resort, LLC's total compensation package for employees. Other rewards may include short-term and long-term incentives and many region-specific benefits.

Base hourly pay range: $22.60 - $29.38 per hour

Working Conditions:

Indoor/Outdoor: While performing the duties of this job, the employee may be exposed to outside weather conditions.

Hazardous Materials/Noise: The noise level in the workplace is usually moderate.

Employment with Palisades Tahoe, LLC is "at will" for no definite period of time. The employee may terminate employment at any time without notice or cause, and so too can Palisades Tahoe, LLC terminate employment relationship at any time without notice or cause.
