Job Summary

The Clinical Research Coordinator (CRC) will perform independently or with general direction at the fully operational journey level of the series to execute, manage, and coordinate research protocols, as directed by the Clinical Research Supervisor and/or Principal Investigator (PI); may coordinate the data collection and operations of several concurrent clinical research studies under the guidelines of research protocols, UCSF and regulating agency policies.

Incumbent's duties may include, but will not be limited to supporting the management and coordinating the tasks of single or multiple clinical research studies, depending on their size and complexity; act as intermediary between services and departments while overseeing data and specimen management; manage and report on study results; create, clean, update, and manage databases and comprehensive datasets and reports; coordinate staff work schedules, assist with training of Assistant CRCs, and assist Clinical Research Supervisor and/or PI with oversight of other research staff; manage Investigator's protocols in the Committee on Human Research online system, as well as renewals and modifications of protocol applications and the implementation of new studies; participate in the review and writing of protocols to ensure institutional review board approval within University compliance; help assure compliance with all relevant regulatory agencies; oversee study data integrity; implement and maintain periodic quality control procedures; interface with departments to obtain UCSF approval prior to study initiation; maintain all regulatory documents; report study progress to investigators; participate in any internal and external audits or reviews of study protocols; and perform other duties as assigned.

This position is intended to support two studies: the CFAR Clinical Core's Research Referral Service (primary; ~70%) and the CNICS study (secondary, ~30%). The CRC position requires the incumbent to adhere to research protocols with an emphasis on organizational skills and attention to detail. In addition, given that the employee will be working in a publicly funded HIV clinic that serves many diverse and often marginalized urban populations, they will apply a warm and non-judgmental manner and consistently demonstrate interpersonal tact, discretion, and sensitivity when interacting with clinic patients and providers. Spanish language skills are highly encouraged given the impact of HIV on the Latinx community in San Francisco.

The Center for AIDS Research (CFAR) is an NIH-funded center grant providing HIV research infrastructure and funding to the San Francisco HIV research community. The CFAR's Clinical Core provides HIV researchers with access to a new patient referral service to recruit diverse participants from Ward 86 to research studies, as well as a well-characterized cohort for human subjects data and specimens (SCOPE), a platform from which to launch new studies, and a biospecimen processing and banking service. The Research Referral Service will implement a registry of patients from Ward 86, an HIV clinic at San Francisco General Hospital that serves a diverse patient population of over 2,600 persons, who are willing to participate in research studies.

New and established patients will have the opportunity to provide informed consent to the clinical research coordinator to join the CFAR recruitment registry database. The data manager can then efficiently query the database for participants that fit the inclusion criteria of various studies; the research recruitment coordinator will then reach out to eligible participants to recruit for a variety of studies. The CRC will also be the central point of contact to let registry participants know about available research studies.

The CFAR Network of Integrated Clinical Systems (CNICS) is a National Institutes of Health (NIH) -funded cohort of clinic cohorts consisting of eight academic HIV clinics across the United States, and UCSF is a participating member. The Patient Reported Outcomes (PROs) component of CNICS involves a health assessment administered to clinic patients approximately every four months and contains information that the medical record often does not capture in a format conducive to evaluation and research, such as adherence to antiretroviral medication, sexual risk behavior, substance use, and mental health screening. The PROs survey is considered part of routine clinical care; deidentified data is transferred to the CNICS Data Coordinating Center for research purposes.

For CNICS, the CRC will be responsible for identifying eligible patients in the clinic, administering the health assessment on an iPad, and delivering results to the patient's provider to aid with clinical care in real time. The CRC will also maintain a monthly report of eligible patients present in clinic, approached, declined / accepted, and surveys completed in order to troubleshoot reasons for refusal and non-completion.

The CRC position requires to adhere to research protocols with an emphasis on organizational skills and attention to detail. In addition, given that the employee will be working in a publicly funded HIV clinic that serves many diverse and often marginalized urban populations, they will apply a warm and non-judgmental manner and consistently demonstrate interpersonal tact, discretion, and sensitivity when interacting with clinic patients and providers. The CRC will meet regularly with their supervisor (CFAR Clinical Core Co-Director and UCSF CNICS principal investigator) to ensure study milestones are met.

The Department of Medicine (DOM), the largest department in the School of Medicine, has close to 600 full- time faculty leading top-notch research, clinical, and education programs. The Department has a decentralized organizational structure across four sites (Parnassus, ZSFG, SFVAHCS and Mt. Zion) and 38 divisions. Required Qualifications

Preferred Qualifications

  • Bilingual in Spanish and English
  • Six months of volunteer or professional experience working in a clinic setting or equivalent e.g., community non-profit and interacting with patients / clients and their health care providers
  • Fluency in the usage of Committee of Human Research (CHR) online iMEDris system for submission, renewal, and modification of protocols through this system.
  • Understanding of patient population to create rapport and a relationship, while also giving insight to what is realistic and appropriate for patient participation.
  • Experience with electronic medical records.
  • Knowledge of UCSF and departmental policies for dealing with reimbursement, guidelines for research, confidentiality and HIPPA regulations, following the UCSF mission statement and purpose for research, and a clear understanding of policies and procedures on patient safety and confidentiality (electronic and hard copy medical records, patient charts, communication, etc.); knowledge of medical terminology, research policies and guidelines, guidelines for packing/shipping infectious substances, database building/analysis, and data management within some of the following: Access, Stata, SASS/ SPSS, and Teleform programming platforms.
  • BA/BS or associate's degree
  • 6 months experience in survey research that includes sensitive content, or an equivalent combination of education and experience
  • Experience working with vulnerable or marginalized populations in a service or research capacity
  • Experience with electronic medical records
  • Ability to understand priorities in clinical research
  • Highly organized, able to multi-task, and demonstrated success working in a fast-paced environment
