Summary:
The Legal IP Assistant will with minimum guidance, prepare and e-file documents at the U.S. Patent and Trademark Office (USPTO), including applications, amendments, information disclosure statements, etc. Manage files including opening new electronic/physical files, retrieving files and maintaining files according to firm protocol. Provide professional interaction with client and USPTO Examiners. Review docket with attorney(s) and coordinate appropriate action as necessary. Make travel arrangements.

Duties and Responsibilities:
  • Prepare patent and trademark documents for client signature and filing at the USPTO.
  • Provide administrative and secretarial support for attorneys/timekeepers.
  • Maintain up-to-date knowledge of USPTO rules and filing procedures.
  • Transcribe legal documents, correspondence, contracts, and memoranda.
  • Review and edit prepared documents for accuracy, including accurate proofreading.
  • Receive mail and other deliveries; match correspondence to files.
  • Open new matters.
  • Accurately maintain client files.
  • Lend support to other assistants when needed.
  • Other duties as assigned.
Education and Experience:
  • High school diploma or GED equivalent required. College level courses/degree preferred.
  • Minimum five years Legal Secretary/Assistant experience in a law firm environment, including two years Intellectual Property patent prosecution experience, required.
  • Above average proficiency in Microsoft Word with strong and accurate typing skills.
  • Excellent proofreading, editing, grammar, communication and organizational skills, as well as an ability to prioritize.
  • Devotion to excellence for all responsibilities, including those that are more repetitive and administrative in nature.
  • Ability to absorb training quickly and efficiently.
  • Take initiative to improve procedures.
  • Demonstrate a positive attitude towards work.
  • Work efficiently under minimal supervision.
  • Adhere to and supports the firm's standards, policies and procedures.
  • Manage a heavy IP desk, including managing calendar and planning workload.
  • Maintain cooperative, diplomatic working relationships with co-workers, attorneys and supervisors; work as part of a team and collaborate with colleagues.
  • Complete projects under tight deadlines even when there are competing requirements and changes in assignments.
Pay rate: $75,000 - $95,000 per year
Compensation can vary based on qualifications and experience.
This position is subject to export control laws.
