JOB SUMMARY

The Administrative Assistant provides daily clerical and administrative support services for the inside/outside Civil Construction department.

MINIMUM QUALIFICATIONS
  • High school diploma or general education degree (GED).
PREFERRED QUALIFICATIONS
  • Accounting knowledge and experience preferred.
  • One-year experience providing administrative support in an office environment preferred.
KEY SKILLS & COMPETENCIES
  • Requires strong organizational skills, attention to detail, and the ability to prioritize and complete multiple projects in a timely manner.
  • Must have high level of interpersonal skills to handle sensitive, confidential situations.
  • Requires working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, Access, Outlook, and Adobe PDF.
  • Must be able to communicate effectively, both orally and in writing.
  • Good punctuation, spelling, and grammar skills are critical.
  • Must maintain professional confidentiality.
  • Must be able to effectively work independently & within a team environment.
JOB RESPONSIBILITIES
  • Answer field calls from Superintendents.
  • Updates Excel spreadsheets and Access worksheets daily.
  • Log and process new work orders for Southern California Edison (SCE).
  • Maintain project master worksheet and other electronic files for Civil customers.
  • Gather and review all necessary back up documentation for completed projects.
  • Follow up with field Superintendent/Tasker on billing for projects that have been complete, but not fully billed.
  • Prepare and submit billing to Civil customers through assigned website.
  • Oversee and/or process day-to-day administrative items (i.e., expense reports, supply requisitions, personnel transaction forms, operating budgets, etc.) per supervisor's authorization.
  • Submit daily crew lists to SCE.
  • Process monthly and quarterly accruals.
  • Perform additional assignments per supervisor's direction.

  • Starting at $20 - $30 per hour DOE
