Description

Job purpose:

Perform daily tasks to support inside service department, technical services department, and training department. Assist with office activities and operations to ensure efficiency and compliance with company policies.

Duties and responsibilities:

  • Prepare training documentation such as training manuals, hand notes for participants, questionnaires, and other support materials
  • Greet guests, sign-in/sign-out, and direct visitors to appropriate training area
  • Schedule training sessions, register/enroll students, and coordinate notification/meeting invites for participants
  • Coordinate the preparation of training sessions, find training rooms to accommodate appropriate number of students
  • Ensure all necessary equipment is available and functioning properly
  • Coordinate catering arrangements for training sessions, including breakfast, lunch, snacks, etc.
  • Maintain training records for each course and attendance
  • Prepare and distribute training certificates for students
  • Open, maintain and invoice service department work orders
  • Create purchase orders
  • Voucher invoices for payment
  • Assist with bi-weekly payroll, Match chargeable hours against payroll hours
  • Maintain daily calendars
  • File and maintain Service department records
  • Perform administrative tasks such as email correspondence, write memos, handle mail distribution, make copies, etc.
  • Other duties as assigned

Qualifications:

  • Must possess at least 5 years' experience in a Service administrative role
  • High school diploma or GED
  • Must possess and maintain an active driver's license

Knowledge, Skills, and Abilities

  • Proficient in Window's based environment (Outlook, Word, Excel, Access, Power Point, etc.)
  • Excellent written and oral communication skills
  • Excellent organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively
  • Must be able to build and maintain good client relationships
  • Must display a professional attitude
  • Must be dependable and be able to work independently
