The Opportunity

The Executive/Corporate Communications Assistant provides executive support to the Chief of Staff/Vice President of Corporate Communications as well as administrative support to the Corporate Communications team. The Executive/Corporate Communications Assistant serves as a liaison to senior management teams and supports activity associated with the board of directors. The Executive/Corporate Communications Assistant must be creative and enjoy working in a fast-paced entrepreneurial environment that is results-driven.

What You'll Do

Chief of Staff, VP Corporate Communications

  • Communicates on behalf of the Chief of Staff/VP Corporate Communications with Board members, company leaders and external constituents on matters related to C-level initiatives; effectively communicates and collaborates with other Executive Assistants and Administrative Assistants across the organization.
  • Exercises impeccable discretion/confidentiality and judgement; exhibits comfort and confidence working with senior leaders in the organization.
  • Oversees a variety of special projects and enterprise-wide initiatives, including those of a sensitive or confidential nature.
  • Prepares and delivers critical materials for meetings with the board of directors and other senior audiences, including agendas, presentations and scorecards.
  • Manages calendar/schedule, travel arrangements/logistics and expense reports.
  • Expeditiously follows-through on projects to successful completion, often with deadline pressures; prioritizes conflicting needs.
  • Works closely and effectively with other C-level executives to keep them well-informed of upcoming commitments and responsibilities, following up appropriately.
  • Anticipates and proactively manages potential challenges and conflicts, having a sense for the issues taking place in the environment and keeping the appropriate parties updated.
  • Serves as a back-up to the CEO Executive Assistant

Corporate Communications Staff Support

  • Supports general communications functions, including event and meeting planning:
    • Quarterly all-employee Town Halls and other large-scale, company-wide meetings; PowerPoint presentation formatting and content/data collection, technical setup and coordination with IT partners, invitation process, dry-run scheduling and post-meeting survey management.
    • Digital signage access and administrative support.
    • Administration of Leadership Open Forums, including scheduling, invitations and post forum follow-up.
    • Administrative support and content updates for company-wide and Corporate Communications intranet sites (Thought leadership, etc.)
  • Manages a variety of special projects, which may have organizational impact.
  • Updates and maintains the department's scorecard/KPIs.
  • Schedules meetings and arranges travel for Corporate Communications staff.
  • Manages invoices and payment.

What We Expect from You

  • A two-year technical degree or bachelor's degree is preferred.
  • Five to 10 years of experience supporting C-Level Executives, preferably in a professional services environment.
  • Advanced skills in Microsoft Office (PowerPoint, Excel, Word, Outlook).
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, working steadily under pressure at times, while demonstrating the highest level of customer/client service and response.
  • Demonstrated approach to anticipating conflicts and solving problems, with strong decision-making capability.
  • Strong interpersonal skills and the ability to build positive working relationships with stakeholders, including senior leaders, staff, board members and external partners.
  • Expert level of written and verbal communication skills.
  • Forward-looking thinker, who seeks opportunities and proposes solutions.
  • Highly resourceful team-player, with the ability to also be extremely effective working independently, taking projects from conception to completion.
  • Ability to meet deadlines in a fast-paced environment, proactively manage shifting/competing priorities and provide short-notice after-hours support (i.e., crisis management)
  • Willingness to embrace and exemplify Ulteig's values.
  • Corporate Communications experience preferable.
  • Project management experience helpful.
  • Requires the ability to travel (10%).
  • Requires a valid driver's license and insurable driving record.
  • Must have permanent authorization to work in the US.

Additional Opportunity Details:
Compensation Range is Generally +/- 15% of Position Mid-Point of $86,800*
