Department: Advancement
Reports to: Manager, Membership
Employee Status: Full-time, Non-Exempt
Primary Work Location: La Jolla, Hybrid
Salary Range: $25.70 - $27.05

JOB SUMMARY: Support the Advancement team in achieving its fundraising goals through Altru database administration and maintenance responsibilities. Support the mission and vision of the Museum throughout performance of duties.

ESSENTIAL FUNCTIONS:
  • Maintain effective and optimal use of the Altru database.
  • Accurately track all revenue, donor record entry and maintenance, guest list generation, event attendance report, moves management, and constituent engagement; ensure monthly reconciliations with internal departments.
  • Ensure successful administration of Omatic Integration software, connecting Altru and Mailchimp communications, as well as assisting with XtruLink ticketing software for web sales. Oversee the regular maintenance and operation of Omatic Integration software to ensure constituent data in Altru and Mailchimp is accurate and clean.
  • Work collaboratively with stakeholders to create, train, update, and maintain data entry standards to ensure the database is used properly by all staff members and meets the needs of the museum, while overseeing data integrity.
  • Create and interpret regular fundraising status reports, conduct queries to retrieve data, and create lists based on requested parameters when requested by stakeholders.
  • Track and analyze progress toward benchmarks and goals; report weekly on major gifts.
  • Track and file multi-year capital campaign pledge documentation adhering to established auditors' standards. Conduct monthly pledge reporting/reconciliation.
  • Conduct annual audit reporting, which includes member's expiration dates, individual gifts, special event tax deductibility, stock transfer gifts, and provide monthly reconciliations for all donated revenue.
  • Research, establish, document, and maintain protocol and data input guidelines to ensure data integrity and correct utilization of Altru and Xtrulink ticketing software.
  • Oversee interface with MCASD accounting team of daily deposit reporting (cash, credit cards, checks) for MCASD fund allocation.
  • Interface with MCASD IT consultants and Blackbaud Altru representatives regarding Altru interface, access, security, software upgrades, and troubleshooting as needed. Update museum stakeholders on upgrades and system and reporting enhancements.
  • Administer all departmental mailings to include pulling lists from Altru, coordinating with other departments to obtain additional invitees, and coordinating with mail-house.
  • Create and maintain event records in Altru, including but not limited to, invitation lists, registrations and ticket sales, ticket levels, and attendance reports; ensure tickets are available for online sale.
  • Assist with Advancement events to ensure smooth guest arrivals and accommodations, coordinate with Education and Engagement teams to maintain proper check-in and records of everyday admissions and special events.
  • Work additional hours including some weekends and/or after regular business hours as needed.
  • Follow policies and procedures to ensure a safe work environment.
  • Other duties as assigned.

KNOWLEDGE, SKILLS, AND EXPERIENCE: Data-driven professional with excellent attention to detail. Results-oriented with excellent organizational and planning skills. Self-starter and team player with energy, enthusiasm, and flexibility, as well as strong data mining and presentation abilities. Ability to maintain professional decorum and interact with employees, members, Trustees, and donors. Strong technical skills and two years of experience in Altru (preferable) or other CRM platforms. Strong data analysis and MS Office experience. Familiarity with Omatic Integration and/or XtruLink ticketing software a plus. Bachelor's degree and two years recent, relevant database, development, and/or fundraising operations experience or any equivalent education and experience. Knowledge of and/or experience in contemporary art preferred.
